OGS Centralized Contract for Administrative Services

The OGS Centralized Contract for Administrative Services, Award #23057 (contract), expires October 24, 2022. Although a new award is anticipated on or before October 25, 2022, contract users should review their current agreement expiration dates and anticipate future needs to ensure adequate coverage in the event the contract lapses.

New RFQs/Purchase Orders: If a new RFQ is needed under the current contract, it must be conducted, and a purchase order dispatched, on or before October 24, 2022.

To meet this deadline, requests for the BSC to conduct an RFQ should be submitted to the BSC Buy Desk by Friday, September 26, 2022. Please include the date on which you will need to have the completed bid package by. Purchase orders for RFQs completed by the agency or by the BSC should be submitted to the BSC by Monday, October 17, 2022.

When building your RFQ timeline, please consider the following:

  • How long the vendors will need to find suitable candidates, especially if you are requesting that resumes be included
  • Time needed to review bids, conduct interviews, get necessary approvals, make awards, and to go through the PO approval process.
  • How much additional time may be needed for a reissue

 

Existing RFQs/Purchase Orders:

The contract allows for existing RFQ agreements to extend up to 2 years past the contract expiration.  Provided that the change is within the terms of the agreement, agencies can request change notices to purchase orders after contract expiration if the dates of service in the purchase orders extend past the contract expiration date. 

If you have an existing purchase order with estimated service dates that are less than the two full years allowed by the current contract, you may extend those service dates to a maximum of two years. This may allow you to retain temporary staff during the contract transition. To extend the expiration date, submit a change notice request to the BSC on or before October 17, 2022.  The vendor must agree to the extension in writing.  The agreement must include the revised service dates and rates must be equal to the rates in the original RFQ.

 

If a purchase order is not in place or an extension made before the 10/24/22 expiration date, you will be required to do a new RFQ on the new contract.
